Guide: your first tender
Six steps from registration to a bid that is ready to submit.
Open an account
- Choose Start free and then Create account. Enter your e-mail and a password.
- After the first sign-in, enter the company name, country and registration or tax number.
- Invite colleagues later under Account › Team.
Fill in the profile and add evidence
- Under Profile enter the address, the representative, the CPV codes of your activities, turnover for the last three years and the number of employees.
- Under Evidence add references, certificates, staff and financial evidence: kind, title, validity date and the document.
- The more the profile holds, the more conditions can be assessed and fields filled. One or two references are enough to start.
Find a tender
- Under Tenders enter keywords, choose a country and optionally a CPV code, then Search.
- With Save search you keep the search and repeat it later with one click.
- A tender that is not on TED is added under My tenders.
Upload the documentation
- Open the tender and choose Start work on this tender.
- Download the documentation from the buyer's platform. On the Tender documents tab choose the files (PDF, Word, Excel or ZIP, up to 100 MB in total) and press Upload.
- Then press Start processing. Processing takes a few minutes; you can close the page.
Decide: requirements and match
- The Requirements and deadlines tab lists the documents to submit, the conditions and the deadlines. Each item shows the excerpt from the documentation, in the original and in translation.
- The Match tab shows which conditions you meet and with which evidence. You can correct a result by hand, or run the match again after adding to the profile.
- You can edit, add and delete items. Check any excerpt that carries a warning against the source.
Prepare and check the bid
- On the Bid forms tab, next to the buyer's form choose Prepare draft, then Open.
- Complete the empty fields and enter the prices, save, and choose Export. You get the buyer's own file with the values written in.
- On the Pre-submission check tab upload the final files and run the check. Then sign and submit the bid yourself on the buyer's platform.
Frequently asked questions
Does Tender Copilot submit the bid for me?
No. It prepares the list of requirements and the draft forms; you review, sign and submit, in the buyer's system.
Which languages can the documentation be in?
Any official EU language. You get the requirements and the translated excerpts in the interface language, Slovenian or English.
What happens when the profile does not have the data?
The field stays empty and marked, and the condition is shown as "unknown". The product does not make up values and does not suggest prices.
Which files can I upload?
PDF, Word (.docx), Excel (.xlsx) and ZIP archives of these, up to 100 MB per upload. Scanned PDFs are read by character recognition (the first 40 pages); check quotes from them against the original.
How do I get my data back?
Under Account › Data and deletion you export all company data as one ZIP file, or delete the account with all its data.
